6.13 Moving Expense Reimbursement for New Research Faculty (at Level I)
General
The Georgia Tech Research Corporation (GTRC) provides reimbursement for travel expenses and/or relocation expenses incurred during the move of full-time professional employees at the level of Research Engineer, Scientist, Associate, Technologist I.
Procedure
Follow all normal procedures and current guidelines in the hiring of new professional employees at the I level.
After an approved employment action is consummated by an acceptance letter from the new employee, the hiring department should immediately notify the office of the Associate Vice-Provost and General Manager of GTRC. A copy of the hiring letter, acceptance letter and completed Move Authorization Form (available at http://www.gtrc.gatech.edu under Forms Library) should be faxed to 404-894-7002. The form will be returned to the department with an authorized signature indicating approval for the move. Any exceptions to the moving policy must be made in advance and requested by the Laboratory/SchoolCenter Director to the Associate Vice-Provost and General Manager of GTRC and the Vice Provost for Research.
Upon completion of their move, the new employee should submit an itemized request for reimbursement along with original receipts attached where applicable to:

Reimbursement
Reimbursement is based on the standard
road distance from the point of departure to the city of employment. The following
chart reflects the mileage increments for determining the allowable reimbursement:
Under 500 miles $1,000
500 to 1,000 miles $1,500
Over 1,000 miles $2,000
Please note that
the total reimbursement cannot exceed the mileage based cap listed above.
Allowable reimbursement options are as follows:
Mileage Allowance
Reimbursement includes mileage allowance based on the rate currently in effect for the State of Georgia, based on the standard road distance from the point of departure to the city of employment. If the employee chooses to relocate more than one personal vehicle, GTRC will pay mileage for a maximum of two personal vehicles.
Personal Expenses
Personal travel expenses at the rate of $100 for each 700 miles of travel distance, prorated for distances in partial increments of 700 miles and based on the standard road distance, may be reimbursed.
Air Travel
In lieu of a personal vehicle and travel allowance, GTRC will provide reimbursement for actual one-way economy airfare for the new employee and his/her immediate family not to exceed the allowable reimbursement based on the chart above.
Household Goods
Reimbursement for actual cost of any household goods relocation expenses (i.e., moving company charges, truck or trailer rental, gas for rental vehicle, packing materials, third party services, etc.).

Associate Vice-Provost and General Manager of GTRC and will give her all pertinent
information identifying the employee, address and phone numbers, job level,
Social Security Number and predetermined reimbursement. Any exceptions to the
moving policy must be requested by the Laboratory/School/Center Director through
the Associate Vice-Provost and General Manager of GTRC and the Vice Provost
for Research.

The Georgia Tech Research Corporation (GTRC) provides limited reimbursement for relocation expenses of professional employees within a given state, usually Georgia.
1. The recruit must be a new hire and otherwise eligible for the benefit.
2. The recruit must live, at the time s/he is hired, more than 50 miles from the Georgia Tech office to which s/he will report.
Limits include normal expenses (mileage
and personal):
